What is utilities expense?

Utilities expense is the cost of power, water, gas, and similar services used during a period. It is recorded for usage, even when the bill arrives later.

Definition

Utilities expense is the period cost of power, water, gas, and similar services the business used. On the books, it is an Income Statement cost, not simply the cash that leaves when the utility is paid.

Accrual books record the month that used the service, even if the bill arrives later. Cash-basis books may wait until payment leaves the bank.

This cost is the period's usage. It is not a meter deposit and not equipment sitting on the Balance Sheet.

Where it shows up

P&L: Located in operating expenses.

Balance Sheet: Related to the utility bill sitting unpaid at month-end.

Cash flow: Decreases when the utility bill is paid, reported cash from operating activities decreases.

On the Income Statement, utilities expense sits with the ongoing costs of running the business. The Balance Sheet carries an unpaid bill in accrued liabilities or accounts payable until settlement.

On the Statement of Cash Flows, payment is the cash event. A recorded accrual means the payment later clears a liability rather than creating a second cost.

How it works

The business uses power, water, gas, or a similar service throughout the period. That usage belongs in the period even when the invoice has not arrived.

The month-end flow is:

  • Estimate the used service when the bill is missing.
  • Debit utilities expense and credit accrued liabilities.
  • Replace or adjust the estimate when the actual bill arrives.

If the invoice arrives before close, it may credit accounts payable instead. A steady connection charge plus usage often makes this a semi-variable cost.

Example

Hearth & Hop Brewpub uses electricity and water throughout June. The June bills have not arrived by month-end, and the bookkeeper estimates $2,400 of usage.

The brewpub records:

Debit: Utilities expense $2,400

Credit: Accrued liabilities $2,400

The cost hits the Income Statement, accrued liabilities rise by $2,400, and cash has not moved. When the bill arrives, the estimate is cleared and the actual amount is recorded; any difference adjusts the period's cost rather than creating a second cost.

Common mix-ups

Utilities expense is not the same as the utility bill in the mail. The cost is the period that used the service; the bill is the later invoice.

Utilities expense is not the same as cash paid. An accrued bill is already the period's cost, even when the payment is still unsent.

Utilities expense is not the same as rent. Rent is the lease for the space; this line is power, water, gas, and similar services.
